Collection of Information
Log Cabin Park Accommodation collects personal information in order to carry on the business of affordable and flexible residential caravan park accommodation. The primary purpose of collection of personal information is to allow Log Cabin Park Accommodation to communicate with existing residents and to screen residency applications. We may use collected personal information in business planning, auditing, billing or aggregating de-identified data to improve our business operations.
Collection, maintenance and disclosure of certain personal information is governed by the Privacy Act and other legislation.
Log Cabin Park Accommodation will not collect, use or disclose personal information for marketing purposes without permission.
Types of Personal Information Collected
We collect a variety of personal information including names, contact details, addresses, photo identification, rental references and employment information about our customers and people we do business with.
Disclosure of Personal Information
Information collected from residents and prospective residents is relevant and appropriate for operating the Log Cabin Park Accommodation business.
When processing rental applications, Log Cabin Park Accommodation will disclose some personal information to a third party, namely the National Tenancy Database, and will contact referees provided by the resident in order to assess the application.
The Log Cabin Park may also disclose personal information to Government bodies including the Residential Tenancies Bond Authority and the Victorian Civil and Administrative Tribunal where required in the operation of the caravan park business.
Some personal information collected from residents will be disclosed to Log Cabin Park’s cloud-based property management software provider, NewBook. This is primarily so that NewBook can provide customer support to the Log Cabin Park in the event of a problem with the software. Log Cabin Park Accommodation is permitted, required or authorised by law to disclose personal information to a third party in certain circumstances. The following list of circumstances is illustrative but not exhaustive.
The Log Cabin Park Accommodation may use or disclose personal information where
· Necessary to lessen or prevent a serious threat to life, health or safety of an individual, or to public health and safety.
· There is suspicion of unlawful activity or misconduct of a serious nature.
Method of Collection of Personal Information
Personal information is collected through Log Cabin Park’s Application form, check-in documentation, lease document and/or site agreements. Information is collected at the Log Cabin Park office and/or via email, fax or post.
Security of Information
No employee is able to access information they do not require in the proper performance of their role. There are passwords, firewalls and data encryption in place to restrict access to personal information to only those individuals who require it to perform their jobs. Log Cabin Park does not sell or rent personal information to third party companies outside the Log Cabin Park, including overseas.
Log Cabin Park takes all reasonable security measures to protect your personal information from loss, unauthorised access, destruction, misuse, modification or disclosure.
Accessing Your Personal Information
You may request access to your personal information held by us by contacting our Privacy Officer (contact details above). In most cases we will provide you with access to your personal information but there are circumstances where we are permitted to refuse access and we reserve our right to do so. In most cases we will provide you with access to your personal information free of charge. However, we reserve the right to recover our reasonable costs of providing you with access to your personal information held by us. If we decided to charge you for accessing your personal information, we will notify you of this beforehand.
Correcting Personal Information
If you believe that we hold personal information about you that is wrong (which include inaccurate, out of date, incomplete, irrelevant or misleading), you may request that we correct the personal information. If you wish to make such a request, you should contact our Privacy Offer (contact details above).
Where we are satisfied that the personal information is wrong, we will take such steps (if any) as are reasonable in the circumstances to correct the personal information.
Complaining About a Breach of Privacy by Us
If you believe that we have acted in a manner that breaches your privacy (including under the Australian Privacy Principles) we recommend that you contact our Privacy Officer in the first instance.
